Relationship with Customer
Trapeze provides a software service to healthcare groups. For the purpose of this policy, a “Customer” is a healthcare group that has an agreement with Trapeze.
When we handle the personal data of individuals who interact with our services (e.g., patients calling to schedule an appointment), we do so as a “business associate” of our Customers, as defined by the Health Information Portability and Accountability Act of 1996 (HIPAA). This means we handle and process personal data in accordance with our agreements with our Customers and the requirements of HIPAA.
This Privacy Policy governs the general handling of data and is separate from the Business Associate Agreement (BAA) that we sign with our customers, which provides specific, detailed terms for the protection of patient data.
What Information We Collect, Why We Collect It, and How It Is Used
The personal data we collect is limited to what is necessary to perform our scheduling services on behalf of our healthcare Customers. This may include:
Your name, phone number, and reason for the call.
The doctor or location you wish to schedule an appointment with.
The date and time of your requested appointment.
Other information required to fulfill our services for the Customer.
We use this information to:
Schedule, manage, and confirm appointments on behalf of our healthcare Customers.
Detect, prevent, and prosecute fraud or other illegal activity.
Identify and repair errors.
Conduct audits and for security purposes.
Comply with applicable laws, including law enforcement requests, and to exercise or defend legal claims.
How We Protect and Retain Your Information
We have implemented appropriate technical, organizational, and security measures designed to protect your personal data, including measures required by our HIPAA compliance. However, we cannot guarantee that information will not be compromised as a result of unauthorized penetration of our servers.
We will store your personal data only as long as necessary to fulfill our services for our Customers and to comply with legal, regulatory, or tax requirements.

Our Healthcare Customers: We share data with our Customers to fulfill our service agreements, such as sharing appointment details with the healthcare provider.
Third-Party Service Providers and Partners: We may share data with third-party service providers to assist with our business operations, such as for data storage. We only engage with providers who have privacy policies governing their processing of personal data.
Regulators, Courts, or Authorities: We may share data to comply with applicable laws, regulations, or court orders. We carefully validate all requests from law enforcement or regulators before disclosing any personal information.
